IFTA Mileage Calculator - Complete User Guide

Overview

The IFTA Mileage Calculator is a comprehensive tool for managing quarterly IFTA tax reporting. It handles:

  • Multi-truck fleet management - Add, edit, and remove trucks
  • Fuel expense logging - Track fuel purchases by date, jurisdiction, and cost
  • Mileage tracking - Record miles driven in each state and province
  • Automated IFTA calculations - Generate quarterly reports with tax due/credit per jurisdiction
  • CSV import/export - Bulk import data and export reports
  • Report history - Access previously generated reports

The tool covers all 48 continental US states and 10 Canadian provinces, with IFTA tax rates updated quarterly.


Trucks Tab

Purpose

Manage your fleet of trucks. Each truck can have its own fuel logs, mileage data, and reports.

Adding a Truck

  1. Click "Add Truck" button
  2. Fill in the form:
- Truck Name: Friendly identifier (e.g., "Blue Kenworth", "Truck 5") - Unit Number: Internal fleet number (optional) - VIN: Vehicle Identification Number (required) - Fuel Type: Select Diesel, Gasoline, or Other
  1. Click "Save"

Notes:

  • Truck name and VIN are required
  • VIN must be accurate for official IFTA filing
  • Fuel type affects calculations if your fleet uses mixed fuel types

Viewing Trucks

All trucks are displayed in a table showing:

  • Truck Name
  • Unit Number
  • VIN (last 4 digits displayed)
  • Fuel Type
  • Actions (Edit, Delete)

Editing a Truck

  1. Click "Edit" next to the truck
  2. Update any field
  3. Click "Save"

Notes:

  • Editing a truck does not affect historical data or reports
  • Changes apply to future entries only

Deleting a Truck

  1. Click "Delete" next to the truck
  2. Confirm deletion

Warning:

  • Deleting a truck removes all associated fuel logs, mileage data, and reports
  • This action cannot be undone
  • Only delete trucks you no longer need to track

Trial Limits

  • Free trial: Maximum 10 trucks
  • Paid access: Unlimited trucks

Fuel Logs Tab

Purpose

Record fuel purchases for each truck. Fuel logs are used to calculate tax credits (fuel purchased in a jurisdiction) and to determine your fleet's miles per gallon (MPG).

Adding a Fuel Entry (Manual)

  1. Select a truck from the dropdown
  2. Click "Add Fuel Entry"
  3. Fill in the form:
- Date: Date of fuel purchase - Jurisdiction: State or province where fuel was purchased - Gallons: Amount of fuel purchased - Price per Gallon: Cost per gallon at the pump - Total Cost: Automatically calculated (or enter manually)
  1. Click "Save"

Tips:

  • Enter fuel purchases immediately while receipts are available
  • Double-check the jurisdiction - it must match where you actually purchased fuel
  • Total cost is calculated automatically (gallons × price per gallon)

Viewing Fuel Logs

Fuel logs are displayed in a table showing:

  • Date
  • Jurisdiction
  • Gallons
  • Price per Gallon
  • Total Cost
  • Actions (Edit, Delete)

Filters:

  • Truck: Filter by specific truck or view all trucks
  • Date Range: Filter by start and end date
  • Jurisdiction: Filter by specific state/province

Summary:
Below the table, a summary shows:

  • Total Gallons
  • Total Cost
  • Average Price per Gallon

Editing a Fuel Entry

  1. Click "Edit" next to the entry
  2. Update any field
  3. Click "Save"

Deleting a Fuel Entry

  1. Click "Delete" next to the entry
  2. Confirm deletion

Notes:

  • Editing or deleting fuel entries affects future reports
  • Previously generated reports are not automatically updated

Importing Fuel Logs from CSV

For bulk data entry, you can import fuel logs from a CSV file.

  1. Click "Import from CSV"
  2. Select your truck
  3. Choose a CSV file (see CSV Import Guide for format)
  4. Click "Upload"

CSV Format:

Tips:

  • Use consistent date format (YYYY-MM-DD)
  • Jurisdiction must match state/province names exactly
  • Include column headers in the first row


Mileage Tab

Purpose

Record miles driven in each jurisdiction (state or province) for a specific truck and quarter. Mileage data is used to calculate taxable gallons (fuel you owe tax on based on miles driven).

Entering Mileage (Manual)

  1. Select a truck from the dropdown
  2. Select the quarter (e.g., Q1 2026: Jan-Mar)
  3. Enter miles for each jurisdiction:
- Scroll through the list of 48 states and 10 provinces - Enter miles driven in each jurisdiction - Leave blank or enter 0 for jurisdictions you didn't travel through
  1. Click "Save Mileage"

Tips:

  • Use your logbook or ELD data for accurate mileage tracking
  • Only enter mileage for jurisdictions you actually traveled through
  • Mileage is per quarter (not per month or year)

Viewing Saved Mileage

After saving, the tool displays:

  • Total miles entered
  • Number of jurisdictions traveled through
  • Last updated timestamp

You can edit mileage at any time by changing the values and clicking "Save Mileage" again.

Importing Mileage from CSV

For faster data entry, you can import mileage from a CSV file.

  1. Click "Import from CSV"
  2. Select your truck
  3. Select the quarter
  4. Choose a CSV file (see CSV Import Guide for format)
  5. Click "Upload"

CSV Format:

Tips:

  • Jurisdiction must match state/province names exactly (e.g., "California", "Ontario")
  • Import overwrites existing mileage for that truck and quarter
  • You can mix manual entry and CSV import


Reports Tab

Purpose

Generate quarterly IFTA reports that calculate tax due or credit for each jurisdiction based on fuel purchased and mileage driven.

Generating a Report

  1. Click "Generate Report"
  2. Fill in report details:
- Truck: Select which truck to report on - Quarter: Choose the quarter (Q1, Q2, Q3, or Q4) - Year: Enter the year (e.g., 2026)
  1. Click "Generate"

The tool will:

  • Calculate total miles and fuel purchased per jurisdiction
  • Determine your fleet's miles per gallon (MPG) for the quarter
  • Calculate taxable gallons per jurisdiction (miles ÷ MPG)
  • Apply the IFTA tax rate for each jurisdiction
  • Calculate net tax due or credit per jurisdiction

Understanding the Report

The report displays a table with columns:

Net Tax Interpretation:
  • Positive number (e.g., $125.50): You owe tax (you drove more miles than fuel purchased in that jurisdiction)
  • Negative number (e.g., -$45.20): You have a credit (you purchased more fuel than consumed in that jurisdiction)

Summary Section:

  • Total Miles: Sum of all miles driven
  • Total Fuel Purchased: Sum of all gallons purchased
  • Total Net Tax: Sum of all net tax amounts (what you owe or credit)

Surcharge States:
Certain jurisdictions (Kentucky, Virginia) may have surcharges that are automatically included in the tax rate.

Viewing Report History

All previously generated reports are listed below the generation form, showing:

  • Truck
  • Quarter
  • Year
  • Generated Date
  • Total Net Tax
  • Actions (View, Download CSV)

Click "View" to see the full report details again.

Downloading Reports

  1. Click "Download CSV" next to a report
  2. A CSV file will download with all report data

CSV Contents:

  • Jurisdiction breakdown (miles, fuel, taxable gallons, tax rate, net tax)
  • Summary totals
  • Report metadata (truck, quarter, year)

Uses for CSV export:

  • Import into accounting software
  • Attach to IFTA filing
  • Archive for record-keeping
  • Share with accountant or tax preparer


Understanding IFTA Calculations

Step-by-Step Calculation

  1. Calculate Total MPG:
- Total Miles Driven ÷ Total Fuel Purchased = MPG
  1. Calculate Taxable Gallons per Jurisdiction:
- Miles Driven in Jurisdiction ÷ MPG = Taxable Gallons
  1. Calculate Net Tax per Jurisdiction:
- (Taxable Gallons - Fuel Purchased in Jurisdiction) × Tax Rate = Net Tax
  1. Sum Net Tax Across All Jurisdictions:
- Total Net Tax = Sum of all net tax amounts

Example Calculation

Scenario:

  • Total miles driven: 10,000 miles
  • Total fuel purchased: 2,000 gallons
  • MPG: 10,000 ÷ 2,000 = 5 MPG

California:

  • Miles driven in CA: 1,500 miles
  • Fuel purchased in CA: 300 gallons
  • Taxable gallons: 1,500 ÷ 5 = 300 gallons
  • Tax rate: $0.58/gallon
  • Net tax: (300 - 300) × $0.58 = $0.00 (break-even)

Nevada:

  • Miles driven in NV: 800 miles
  • Fuel purchased in NV: 100 gallons
  • Taxable gallons: 800 ÷ 5 = 160 gallons
  • Tax rate: $0.52/gallon
  • Net tax: (160 - 100) × $0.52 = $31.20 (owe tax)

Arizona:

  • Miles driven in AZ: 500 miles
  • Fuel purchased in AZ: 150 gallons
  • Taxable gallons: 500 ÷ 5 = 100 gallons
  • Tax rate: $0.26/gallon
  • Net tax: (100 - 150) × $0.26 = -$13.00 (credit)

Total Net Tax: $0.00 + $31.20 - $13.00 = $18.20 owed

Tax Rates

IFTA tax rates are set by each jurisdiction and updated quarterly. The tool uses the official IFTA rates for the quarter you're reporting.

Current rates include:

  • Base fuel tax (per gallon)
  • Surcharges (KY, VA)
  • Adjustments for inflation or legislative changes

You don't need to manually update tax rates - the tool handles this automatically.

Surcharge States

Kentucky and Virginia have additional surcharges on top of the base fuel tax. These are automatically included in the tax rate shown in reports.

Example:

  • Virginia base rate: $0.205/gallon
  • Virginia surcharge: $0.072/gallon
  • Total Virginia rate: $0.277/gallon


Tips and Best Practices

Data Entry

  • Enter fuel purchases immediately - Don't wait until the end of the quarter
  • Use CSV import for bulk data - Faster than manual entry if you have digital records
  • Double-check jurisdictions - Accurate jurisdiction entry is critical for tax calculations
  • Keep receipts - Match your tool entries to paper/digital receipts

Mileage Tracking

  • Use ELD data - Electronic logging devices provide accurate mileage by state
  • Review logbooks - If using paper logs, summarize mileage by state before entering
  • Enter mileage by quarter - Don't mix quarters (Jan-Mar, Apr-Jun, Jul-Sep, Oct-Dec)
  • Verify totals - Make sure total mileage entered matches your odometer readings

Report Generation

  • Generate reports after the quarter ends - Don't generate early if you're still driving
